π Landlords β
This page provides guidance on how to manage landlords within your Sorto account. It covers the full range of management features, including searching, editing, adding, and assigning landlords to properties. You'll also learn about system behaviors such as unique email enforcement and how landlords are messaged on repairs.
Landlords are contact records only β they do not log in or access Sorto themselves. The pages described below are accessible to users with the Admin or Manager role.
π€ Features of the Landlords List β
- Access the list from the sidebar under "Landlords"
- View all landlords, including their name and email address
- Click on any list item to access landlord details and edit their information
π Searching β
You can quickly find the landlord you're looking for using the Search Bar at the top to search by name and email.
β¬οΈβ¬οΈ Sorting the Table β
You can sort the table by any column:
- Click a column header once to sort AβZ or oldestβnewest
- Click again to reverse the order (ZβA or newestβoldest)
- Click a third time to remove sorting and restore the default order
π Viewing Landlord Details β
Click on a landlord's name or row to view their full profile. You can:
- Edit any field by clicking directly on it β each change is saved on its own
- CC Emails To: Add one or more email addresses (separated by commas) to send a copy of all emails addressed to the landlord
- Add a phone number (optional) and free-text notes
- See a table of all properties assigned to this landlord
β Adding New Landlords β
- Click "Add Landlord"
- Fill in the details:
- Name
- CC Emails To (optional) β separate multiple addresses with commas
- Phone number (optional)
- Notes (optional)
- Click "Save" to create the landlord
IMPORTANT
Each landlord must have a unique email address.
You can't add two landlords using the same email. If an email has already been added, you'll see an error message β use a different email instead.
π‘ Assigning Landlords to Properties β
Each property can have one landlord assigned to it.
- When you create or edit a property, use the searchable landlord dropdown to find and assign a landlord
- To change ownership, pick a different landlord β or use "remove assigned landlord" to leave the property unassigned
- On the Properties list, the Landlord column shows the assigned landlord, and you can:
- Sort by the Landlord column
- Use the landlord filter dropdown to show only properties belonging to a particular landlord
π¬ Chatting with a Landlord β
You can message a landlord directly about a specific job using the Landlord Chat option on the repair. This appears alongside the other chat options and only when the repair's property has a landlord assigned.
