👥 Tenants

This page provides guidance on how to manage tenants within your Sorto account. It covers the full range of management features, including searching, editing, adding, and deleting tenants. You'll also learn about system behaviors such as deletion constraints, unique email enforcement, and how to view repair history.

👤 Features of the Tenants List

  • View all tenants, including their name, email address, and phone number
  • Click on any tenant in the list to access their details and edit their information

🔍 Searching

You can quickly find the tenant you're looking for using these tools:

  • Search Bar: Use the search bar at the top to search by name or email

⬆️⬇️ Sorting the Table

You can sort the table by any column:

  • Click a column header once to sort A–Z or oldest–newest
  • Click again to reverse the order (Z–A or newest–oldest)
  • Click a third time to remove sorting and restore the default order

Tip: When you scroll through the list and open a tenant, your position is remembered when you return, so you can pick up exactly where you left off without scrolling again.

⚙️ Actions

  • Click the bin icon 🗑️ to delete a tenant
    • Note: If the tenant is assigned to any job, deletion will fail and an error will be shown
  • Click on any tenant in the list to view and edit their details

👀 Viewing Tenant Details

Click on a tenant’s name to view their full profile. You can:

  • Edit any field by clicking directly on it
  • Mark the tenant as active or inactive
  • View their repair history

🚫 Inactive Tenants

When a tenant moves out, you can mark them as inactive. Inactive tenants won't appear when office users create new repairs, keeping your lists clean and helping you avoid selecting the wrong tenant by mistake.

🔧 Repair History

The repair history can be viewed in two ways:

  • Full list of all repairs
  • Filtered by status using the status tabs

Clicking on any repair in the list opens a detailed page where you can view and update the information as needed.

➕ Adding New Tenants

NOTE

You usually don’t need to add tenants manually.
Tenants will normally add their own contact details when they report a repair.
Only add a tenant here if you need to report something on their behalf.

  1. Click "Add Tenant"
  2. Fill in the required information:
    • Name: The tenant's full name
    • Email: A unique email address (cannot be used by any other tenant)
    • Phone: Contact number
  3. Click "Save" to add the tenant

IMPORTANT

Each tenant must have a unique email address.
You can’t add two tenants using the same email. If you try to use an email that’s already in use, you’ll see an error message. Use a different email instead.
